Lychee Intelligence Co., Ltd. ("we", "us", or "our") developed Sika Enterprise ("the Service"). The Service is deployed on-premise within the customer's own servers or private-cloud environment. This Privacy Policy explains the Service's data-handling principles; the actual responsibility for data management is governed by the deployment agreement signed between the parties.
Service Overview
Sika Enterprise is an AI meeting minutes system deployed in the customer's own environment. Users upload meeting recordings through an internal web interface or API, and the Service performs speech recognition and generates transcripts and summaries within the customer's network. Recordings, transcripts, and related data remain on servers under the customer's control at all times and are not transmitted to Lychee Intelligence or any third-party cloud.
Data Processing & Storage
The Service processes the following data within the customer environment, stored on servers controlled by the customer:
Accounts & Authentication
The Service authenticates users through the customer's existing enterprise authentication mechanisms (such as AD / Azure AD / OAuth / SAML SSO), reusing the customer's internal accounts and permissions. The Service obtains only the minimum information needed to identify a user (such as an account identifier and display name) and does not collect data unrelated to the Service.
Audio Recordings
Uploaded audio files are stored on the customer's servers for speech recognition processing. Retention and deletion of original audio are managed according to the customer's own data retention policy.
Transcript Content
Transcripts generated by speech recognition, along with any edits users make, are stored in a database within the customer environment for viewing and management.
AI Summary & Proofreading
The AI summary and proofreading features can connect to a customer self-hosted Large Language Model (LLM), so transcript content does not leave the customer's network during summarization or proofreading. Whether to connect any external LLM service is decided by the customer at deployment time.
Data Sharing
The Service's sharing functionality operates entirely within the customer environment:
- Users can generate an internal share link for a meeting record, and access can be controlled with enterprise SSO
- Users can revoke sharing at any time to invalidate the link
- Sharing is always initiated by the user and occurs only within the customer's network
Data Storage & Security
- All data is stored on servers controlled by the customer, with access governed by the customer
- Transmission between services uses TLS encryption
- API requests are verified with signatures to ensure authenticity of origin
- The system can run in air-gapped networks and provides full audit logging
Lychee Intelligence's Role
Because the Service is deployed in the customer's own environment, Lychee Intelligence does not access customer meeting content by default. Where access to the customer environment is required during deployment, maintenance, or technical support, we will obtain the customer's prior authorization and act in accordance with the agreement and confidentiality terms between the parties.
Third-Party Services
The Service's core components can all be deployed within the customer's network and do not rely on external cloud services by default:
- Speech recognition engine — deployed on the customer's servers for speech-to-text and speaker diarization
- LLM Service — used for AI summary and proofreading; can use a customer self-hosted model, with any external connection decided by the customer
Data Retention
Retention periods, deletion, and backup strategies for meeting records and transcripts are configured and managed by the customer according to their internal policies.
User Rights
Within the permissions configured by the customer, users can:
- View and edit their own transcript content
- Manage the validity of share links
- Request deletion of related data from the customer's system administrator
